Sphere of influence template for real estate agents

A sphere of influence template is a simple list with one row for each person you know. Keep their name, how you know them, how to reach them, the last time you talked and what they might need next. Sort people into a few groups so you know who to call first, and update the row each time you talk.

What should a sphere of influence template include?

A useful template has one row per person and only the columns you'll actually fill in. Keep the name, how you know them, a phone number, an email, a group, the date you last talked, a next step and a short note. The note is where you write down the kitchen they want to redo or the kid starting college.

NotesAnything they told you that you'll want to rememberWants to redo the kitchen next spring

Copy those columns into a spreadsheet, a notebook or whatever you already open every day. The tool matters less than whether you look at it each week.

How do you organize a sphere of influence list?

Sort people into three groups by how close you are: close, warm and wider. Add a tag for past clients and another for the trades you work with, so you can pull up either set quickly. Three groups are easy to keep current, while a scoring system with ten levels is one more thing to maintain.

The groups tell you who to call first. For a rhythm that fits each group, see how often to contact your sphere.

How do you keep a sphere of influence list up to date?

Update the row after every conversation, and add new people the same week you meet them. Once a month, read through the whole list. Fix numbers that changed, move people between groups, and mark anyone you haven't talked to in a long while.

If the list isn't growing, look at how to grow your sphere of influence for who to add. New names come from the places you already spend time, such as your street, your kids' school and your clubs.

Keep your clients, providers and referrals in one place

Proferral's free plan keeps your providers, clients, referrals and go-to lists, and you can export everything any time. If your providers are in a spreadsheet today, you can import your vendor list, and your sphere link covers everyone who isn't a client yet. Proferral doesn't hold every person in your sphere, though, so keep this template for friends and neighbors.
