Real estate referral email template

A referral email to another agent names the client, says what they need and when, and asks the agent to confirm they'll take it. Send it after the two brokerages agree on terms, and copy your client only once the agent says yes. The template below is one you can copy and change.

What should a referral email to another agent say?

It should tell the agent enough to decide whether to take your client, and then ask them to reply. Because your brokerages have already agreed on terms, the email can point to the agreement instead of repeating it. Change the names, the market and the dates to fit your client.

Subject: Referral: buyers moving to Denver in March

Hi Priya,

Thanks for talking with me yesterday. Per our referral agreement, here are the details on my clients, Dana and Luis.

They're buying in Denver and hope to move in March. They're looking in Highlands or Sloan's Lake, between $650,000 and $750,000. [Only if your client agreed to share it:] They're pre-approved with a lender here.

Can you reply to confirm you'll take them on? Once you do, I'll introduce you by email so they know to expect your call.

Thanks,
Jane Smith

Leave out anything your client hasn't agreed to share, including their finances. If you haven't settled on an agent yet, out-of-state realtor referrals covers how to pick one and the steps around this email.

How do you introduce your client to the receiving agent?

Send one email to both of them once the agent has said yes, so your client knows who will call and when. With both of them copied, each has the other's address, and you stay on the thread.

Subject: Dana and Luis, meet Priya Shah in Denver

Hi Dana, Luis and Priya,

Dana and Luis, this is Priya Shah, the agent I told you about. She knows Highlands and Sloan's Lake well, and she'll call you this week to talk about your timing.

Priya, Dana's cell is 555-0142, and mornings are the easiest time to reach her.

I'll check in with all of you along the way.

Jane

How do you follow up on a referral you sent?

Send the receiving agent a short note after the first showing or listing appointment, and another one as the expected closing date gets close. If the agent stops answering, ask your client directly how it's going.

Hi Priya, how did Saturday's showings go with Dana and Luis? Let me know if there's anything I can help with from here.

Hi Priya, I see Dana and Luis are set to close on December 12. Is everything still on track?

Once the referral is sent, track it in one record with the dates and the status, so you know when each of these notes is due. Keep the expected closing date in that record, because the second note depends on it.

How do I write a real estate referral thank you note?

Write two short notes after closing, one to the receiving agent and one to your client. Keep each to two or three sentences, and say what you're thanking them for.

Hi Priya, congratulations on getting Dana and Luis into their new house. Thank you for taking such good care of them, and I hope we work together again.

Hi Dana and Luis, congratulations on the new house. I'm so glad Priya could help you find it, and I hope the move goes smoothly.

Proferral reminds you to follow up

After you send the email, you can log the referral in Proferral as sent to another agent, and if it goes quiet or the closing date passes, it shows up in your follow-ups. Proferral doesn't send any of these emails for you, and each one goes out from your own mail when you press Send. The introduction above works like the warm intro email Proferral drafts when you send a client to a vendor, and how it works shows where agent referrals fit.
